Whole & Rooted™ Privacy Policy
We collect only the information we need to deliver Rooted & Whole well, keep it secure, and never sell it. This notice explains how, in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth). The Privacy Act covers small businesses that provide a health service and hold health information, so we follow it in full.

We will ask you if we feel you need to share test results. If you choose to share them, we'll handle them under this notice, and work with them for your personalised fertility care plan.
Personal identification information
We may collect personal identification information from Users in a variety of ways, including, but not limited to, when Users visit our site, register on the site, subscribe to the newsletter, and in connection with other activities, services, features or resources we make available on our Site. Users may be asked for, as appropriate, email address. Users may, however, visit our Site anonymously. We will collect personal identification information from Users only if they voluntarily submit such information to us. Users can always refuse to supply personally identification information, except that it may prevent them from engaging in certain Site related activities.
How and why we use it
We use your information to:
assess whether Rooted & Whole is a good fit for you
deliver the programme: your Reflection Summary, strategy, sessions, Cycle Compass access and 90-day plan
process payments and keep business records
contact you about your enrolment, sessions and support
improve the programme, using feedback with names and identifying details removed
keep you and others safe, including suggesting professional support when needed
send you newsletters and offers, only if you've agreed; you can unsubscribe at any time
We never sell your information, and we never use your health information for advertising.
How we use AI tools
To prepare your Fertility Care Reflection Summary and draft your Personalised Fertility Care Strategy, Busola uses an AI assistant, Claude by Anthropic, to help organise your Snapshot answers and call notes and to draft your documents.
Busola stays in charge. She reads your Snapshot herself, and reviews, edits and approves every document before you receive it. AI never makes decisions about you, and its drafts are never sent to you unreviewed.
Your identity is removed first. Before anything goes into the AI tool, we remove your name, email, phone number and other direct identifiers and use a participant code instead.
Not used to train AI. We use a Claude account with the 'Help improve Claude' model-training setting switched off.
Where it's processed. Anthropic processes data outside Australia, including in the United States.
Same boundaries. AI-assisted drafts follow the same scope as the programme: no diagnosis, no interpretation of test results, and no supplement or medicine dosing.
Your choice. You can ask us not to use AI tools with your information at any time. Busola will prepare your documents by hand, which may take up to 5 business days instead of 3.

Sensitive information
Health information and information about your religious beliefs and relationships are sensitive information under the Privacy Act. We only collect it with your consent, which you give by completing the application, Snapshot and order form, and only when it's reasonably necessary for the programme. Optional questions can always be skipped.

We may also disclose information if the law requires it, or if we reasonably believe it's necessary to lessen or prevent a serious threat to someone's life, health or safety
Overseas storage
Some of these providers store or process data outside Australia, including in [the European Union and the United States]. We choose providers with strong security and privacy protections, but overseas laws may differ from Australian law. By enrolling, you consent to this transfer.
How we keep it safe
Accounts are protected with strong passwords and two-factor authentication.
Access to your health information is limited to Busola.
Group sessions are private, with confidentiality agreed by all participants.
Personal sharing in sessions isn't recorded without everyone's consent.
If a data breach is likely to cause you serious harm, we'll notify you and the Office of the Australian Information Commissioner (OAIC) as required.

withdraw consent, for example to WhatsApp messages or a testimonial, at any time

Emails and WhatsApp
Programme emails are part of your enrolment. Newsletters and offers are optional: every email has an unsubscribe link. WhatsApp messages are sent only if you tick the consent box, and you can reply "STOP" or tell us at any time.
Participants outside Australia
We welcome women in Canada, the United Kingdom, the United States and elsewhere. If you live in the UK or EU, you also have rights under the UK GDPR or EU GDPR, including the right to data portability and to object to certain uses, and our lawful bases are your consent (for health and faith information) and our contract with you. Canadian participants have rights under PIPEDA. We'll honour these rights on request.
Complaints
If you're unhappy with how we've handled your information, please contact us first so we can put it right. If you're still not satisfied, you can complain to the Office of the Australian Information Commissioner (1300 363 992), or to your local privacy regulator, such as the UK Information Commissioner's Office.
Changes to this notice
We may update this notice. The current version will always be linked from our order form and website, with its date at the top.
